How to Create a Vehicle File

Open the Vehicles section

Click "Vehicles" in the sidebar, then "Add a vehicle"

Select the client

Search by name or phone — or create a new client directly from the same page

Enter vehicle data

Registration (required), make, model, year, fuel, VIN, mileage

Save the file

The vehicle is immediately available to create workshop projects

Each vehicle has a complete history of all its workshop visits — number of repairs, date of each project, documents and payments. Accessible from the vehicle detail page.

3. Workshop Projects

Create and track each job from opening to completion

Select the vehicle

Search by registration plate — the client's name and make appear automatically

Set the repair type

Choose between standard repair or accident/claim, then the bay location

Assign the lead technician

Select the technician from the available workshop staff list

Record mileage and notes

Enter current mileage reading and the complaint reported by the client

Link a work order

Attach an existing work order or create one later from the project

11. WhatsApp Notifications

When Does the Client Receive a Notification?
How Does Sending Work?

When the project status changes to "Completed" or "Delivered", the system automatically sends a WhatsApp message to the client using the number in the vehicle file.

Workshop messages use officially Meta-approved templates — messages are delivered reliably with the "Official Business Account" badge.

Review the stat cards: how many vehicles pending? how many completed?

Receiving new vehicles

Always search by registration plate first — if it exists use the existing file, otherwise create a new one

Photograph the vehicle

Before any work begins, take complete photos of the vehicle and upload them to the project immediately

Update statuses in real time

Update each status as it changes — the client receives an automatic WhatsApp notification at the end

Generate documents before handover

Ensure the invoice and delivery note are created and signed before the vehicle leaves the workshop
